By mimicking human interactions with digital systems and interfaces, RPA facilitates the execution of processes across various applications, enhancing efficiency and accuracy. In the context of Warehouse Management Systems (WMS), RPA plays a transformative role, allowing organizations to optimize operations, reduce operational risks, and improve overall productivity.

Some of the key capabilities of RPA in the Context of WMS are as follows:

    Automation of Repetitive Tasks

One of the core capabilities of RPA is its ability to automate mundane and repetitive tasks. In warehouse operations, these tasks can include data entry, inventory tracking, order processing, and report generation. With the RPA capability, organizations can free their workforce from monotonous duties, allowing employees to focus on more strategic and value-added activities.

    Integration with Existing Systems

RPA can seamlessly integrate with existing systems and applications within a warehouse environment. This capability is crucial as most organizations utilize multiple software solutions for various functions, including inventory management, shipping, and order fulfillment. RPA facilitates interoperability between these systems without necessitating extensive modifications or replacements, ensuring that data flows smoothly across different platforms.

    Real-Time Data Processing and Analytics

The ability to process data in real-time is a critical feature of RPA that significantly benefits warehouse management. RPA enables continuous monitoring of key performance indicators (KPIs), inventory levels, and order statuses, providing managers with up-to-the-minute information necessary for making informed decisions. Additionally, the automation of data collection and reporting allows for advanced analytics capabilities, empowering organizations to identify trends, optimize inventory levels, and enhance operational performance.

Reduction of Manual Errors and Operational Costs

Manual processes are often prone to human error, leading to discrepancies in inventory, shipping errors, and, ultimately, customer dissatisfaction. RPA mitigates these risks by automating data entry and other repetitive tasks, significantly reducing the likelihood of mistakes. This reduction in errors translates to improved accuracy in order fulfillment and inventory management, enhancing overall operational effectiveness.

    Scalability and Flexibility in Operations

RPA provides organizations with the scalability and flexibility needed to adapt to changing operational demands. As business requirements fluctuate due to seasonal peaks, changes in market conditions, or the introduction of new products, RPA can easily scale up or down to accommodate these variations.

Blue Yonder WMS is Built for Automation

The BY WMS, with its open middleware architecture and robust web screen layout, allows for standard RPA products to easily interact with it and perform automation tasks. However, a frequent challenge that many automation toolsets face is the need for continuous script updates due to changes within the WMS product itself.

Blue Yonder WMS Architecture, when employed with its strengths, eliminates this primary concern because the architecture itself supports automation by encouraging scripting and a data-driven, modular approach. Smart IS builds on this inherent strength of BY WMS when creating its RPA offerings.

Disaster Recovery – A Case Study for RPA in WMS

In high-demand warehouse environments, a disaster such as network failure, hardware malfunction, or, in many cases, Ransomware can bring the WMS functionality to a halt.  However, the customer demands do not stop, and shipments need to continue to go out.  While most warehouses can continue to ship out even with a total system failure, the bigger challenge emerges when the systems are back online, and the inventory needs to be reconciled, data needs to be entered, and shipments need to be registered so proper invoicing can take place.

Smart-IS investigated this challenge, considering the latest industry-wide failure because of CrowdStrike, and developed a protocol leveraging its current tools to allow full recovery after manually running a warehouse for a few days.

The following outlines the key details of this approach:

    Key Assumptions:

    • Orders remain in the system during the downtime.
    • Users manually perform picking operations and record them in an Excel template.
    • A standardized template is created in Excel to track picking activities.

    Disaster Details:

    • Network failure: No electronic communication with the host system.
    • WMS outage: Users cannot interact with the WMS.

    Manual Process:

    • Orders are grouped into pick sheets and assigned to users.
    • Users record picking details in the Excel template, capturing:
    • Order number
    • Location of pick
    • Quantity
    • Item or lot details (if applicable)
    • Once picking is complete, products are moved to the staging zone, and shipping is managed manually.

    System Restoration:

    • Smart-IS's RPA tools upload the Excel data back into the WMS.
    • The RPA automates the processing of each order through key Blue Yonder WMS functions:
    • Wave Creation
    • Allocation (forced to match manually used pick locations)
    • Simulated picking
    • Staging
    • Shipping
    • All necessary transactions are triggered, and host communications are completed to enable invoicing.

    Benefits of this Approach:

Smart IS's protocol, which utilizes manual data tracking during the outage and automated data reconciliation post-restoration, ensures that operations can resume smoothly. This structured approach minimizes the risks of inventory errors and revenue loss that often follow such events. Here are a few of the prominent benefits it offers:

    • Manual processes can be effectively managed if data is properly tracked.
    • Once systems are restored, manual activity can swiftly be reconciled with actual inventory.
    • The warehouse can return to normal operations quickly, avoiding post-outage inventory discrepancies or invoicing delays.
    • System downtime no longer translates into lost revenue, allowing for continued operations even during disruptions.
This case study demonstrates how Smart-IS’s RPA solutions enable seamless disaster recovery in WMS environments, minimizing operational disruptions and ensuring business continuity. Traditional responses to such failures typically involve manual recovery processes ranging from re-entering corrupted data to restarting incomplete workflows, which are time-consuming and prone to errors. Moreover, the need for real-time data insights further complicates the recovery, limiting visibility into operational status.
